Position Summary
The Office Coordinator serves as a central support role within the school, providing administrative, communication, and student-support coordination services. This position plays a key role in daily office operations, Student of Concern (SOC) procedures, student recognition programs, and disciplinary documentation while maintaining confidentiality and professionalism at all times.
Key Roles & Responsibilities
Front Office & Communication
-
Answer incoming calls and direct them to appropriate staff or departments.

Provide general office support and assist with administrative tasks as needed.

Prepare and distribute mass mailings using Microsoft Word (Wizard-based formatting).
Student of Concern (SOC) Coordination

Manage the SOC referral process and scheduling:
-
Schedule SOC meetings for referred students (15 minutes per student).
-
Limit scheduling to two SOC meetings per day.
-
Maintain and share the SOC Google Calendar with GTH Middle School staff.

SOC scheduling structure:
-
Tuesday: 6th Grade
-
Wednesday: 7th & 8th Grade
-
Meeting times: 4:30–4:45 PM and 4:45–5:00 PM

SOC meetings operate on a 3 weeks on / 1 week off cycle.

During SOC meetings:
-
Type meeting notes directly into the SOC form in real time.

Distribute SOC meeting minutes via a single email to all SOC team members using the approved letter format.

Ensure timely follow-up communication and proper documentation support.

Student Recognition – Student of the Month
-
Send monthly nomination emails to teachers requesting 3–4 Student of the Month nominees.

Complete Student of the Month certificates.

Print certificates and place them in the appropriate teachers’ mailboxes for distribution.
Disciplinary Documentation & Attendance

Prepare and send In-School Suspension (ISS) and Out-of-School Suspension (OSS) letters to parents, clearly outlining suspension dates.

Update and maintain accurate attendance records in PowerSchool related to suspensions.
Required Skills & Qualifications

Strong organizational and time-management skills.

Excellent written and verbal communication skills.

Proficiency in Microsoft Word and Google Workspace (Calendar, Email).

Ability to handle sensitive student information with discretion and confidentiality.

Attention to detail and accuracy in documentation and scheduling.

Ability to manage multiple priorities in a fast-paced school environment.
Preferred Experience

Prior experience in a school or educational setting.

Familiarity with student information systems such as PowerSchool.

Experience supporting student services, counseling, or administrative teams.
