Office Coordinator

Position Summary

The Office Coordinator serves as a central support role within the school, providing administrative, communication, and student-support coordination services. This position plays a key role in daily office operations, Student of Concern (SOC) procedures, student recognition programs, and disciplinary documentation while maintaining confidentiality and professionalism at all times.


Key Roles & Responsibilities

Front Office & Communication

  • Answer incoming calls and direct them to appropriate staff or departments.

  • Provide general office support and assist with administrative tasks as needed.

  • Prepare and distribute mass mailings using Microsoft Word (Wizard-based formatting).


Student of Concern (SOC) Coordination

  • Manage the SOC referral process and scheduling:

    • Schedule SOC meetings for referred students (15 minutes per student).

    • Limit scheduling to two SOC meetings per day.

    • Maintain and share the SOC Google Calendar with GTH Middle School staff.

  • SOC scheduling structure:

    • Tuesday: 6th Grade

    • Wednesday: 7th & 8th Grade

    • Meeting times: 4:30–4:45 PM and 4:45–5:00 PM

    • SOC meetings operate on a 3 weeks on / 1 week off cycle.

  • During SOC meetings:

    • Type meeting notes directly into the SOC form in real time.

    • Distribute SOC meeting minutes via a single email to all SOC team members using the approved letter format.

    • Ensure timely follow-up communication and proper documentation support.


Student Recognition – Student of the Month

  • Send monthly nomination emails to teachers requesting 3–4 Student of the Month nominees.

  • Complete Student of the Month certificates.

  • Print certificates and place them in the appropriate teachers’ mailboxes for distribution.


Disciplinary Documentation & Attendance

  • Prepare and send In-School Suspension (ISS) and Out-of-School Suspension (OSS) letters to parents, clearly outlining suspension dates.

  • Update and maintain accurate attendance records in PowerSchool related to suspensions.


Required Skills & Qualifications

  • Strong organizational and time-management skills.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Word and Google Workspace (Calendar, Email).

  • Ability to handle sensitive student information with discretion and confidentiality.

  • Attention to detail and accuracy in documentation and scheduling.

  • Ability to manage multiple priorities in a fast-paced school environment.


Preferred Experience

  • Prior experience in a school or educational setting.

  • Familiarity with student information systems such as PowerSchool.

  • Experience supporting student services, counseling, or administrative teams.

CNC Operator

POSITION SUMMARY

Sets-up and operates CNC and manual equipment following standard machining methods and procedures; produces  parts to production and quality standards; documents machining and general machining processes in the form of

standard operating procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Program, set-up and operate all CNC lathe / VMC machining centers, manual machines (lathes, drill presses, mills, routers, grinding machines etc.) and measuring equipment to produce quality parts within deadlines

• Converts designs and drawings into code programming language for CNC equipment. Validates programs to established specifications.

• Determines dimensions and tolerances of piece to be machined, sequence of operations and machines needed by studying specifications, such as blueprints, sketches, damaged parts or descriptions of parts.

• Inspects parts, tooling, and material to specifications.

• Maintains area, equipment, and tooling in safe, clean and satisfactory operating condition.

• Monitors work to ensure that machine is functioning properly.

• Works from draft drawings and written instructions to create replacement and new parts as well as for tooling or

prototype equipment.

• Identify production standards for set-up and machine times

EXPERIENCE

• Minimum of 3 years machining experience including ability to set-up / operate preferred. Strong knowledge of machining, machining practices, tooling, drafting, CNC machines, controls, programming, measuring equipment and

techniques.

• Ability to program CNC lathes and VMC machines

• Ability to troubleshoot CNC operating/programming issues.

• Demonstrated verbal and written communication as well as mid-level math skills.

• Ability to work within a team and as an individual contributor in a fast-paced, changing environment.

• Strong verbal and written communications with ability to effectively communicate at multiple levels in the organization.

• Multitasks, prioritizes and meets deadlines in timely manner.

• Strong organizational and follow-up skills, as well as attention to detail.

• AA degree in Machining / Mechanical Technology, equivalent trade school / military training, or comparable related experience preferred.

 We are currently seeking a Shipping Receiving Clerk for one of our clients.  This is hands-on role is a full-time. We are seeking a candidate who’s not afraid to get their hands dirty, while balancing reporting and other duties in a busy work environment.

Working Hours: Monday-Friday 8:00am-4:30pm and any mandatory overtime

In this role you will:

• Unload daily inbound shipments of purchased materials and verify accuracy of receipts to purchase orders.

• Ensure receipts comply with purchase order specifications. Identify and report shortages, damaged goods, or other discrepancies.

• Processing of necessary receiving paperwork to include Packing Lists and material certification transactions

• Ability to drive a forklift in a safe and efficient manner (Forklift certification required)

• Comply with kanban system procedures.

• Ensure proper identification of kanban bin, accuracy of kanban quantities and distribution of goods to appropriated stocking locations and assembly cells.

• Maintain first-in/first-out (FIFO) and presentation of material in the stocking locations

• Monitor cell outbound shelves and pick-up items ready for shipping

• Ensure shipments match customer order

• Determines the best packaging option depending on the size, contents and shipping method

• Ensure all proper shipping paperwork and computer entries are accurately completed for all shipments daily

• Comply with all import / export compliance regulations

• Maintains a clean, safe and organized work area at all times.

• Ensure proper inventory level of materials within area of responsibility (cardboard, packing paper, stock items etc.)
