Position Overview
AccuStaff is seeking a reliable and detail-oriented Executive Secretary to support administrative operations for our client in Albany. This role provides high-level clerical and administrative support, prepares correspondence and documents, maintains records, and serves as a key point of contact for visitors and callers.
The ideal candidate is organized, professional, and comfortable managing multiple administrative tasks in a fast-paced office environment.
Key Responsibilities
- Prepare correspondence, reports, and other documents from handwritten notes, rough drafts, recordings, or other source materials using computer software
- Compose routine correspondence based on established policies and procedures
- Maintain and update database and spreadsheet records using Microsoft Excel
- Establish and maintain confidential and general office files in both paper and electronic formats
- Monitor and track the status of program activities
- Screen phone calls and visitors, answer questions, and direct inquiries to the appropriate staff or department
- Prepare and coordinate office mailings
- Order office supplies and maintain inventory of supplies and equipment
Qualifications
- Strong organizational and administrative skills
- Proficiency in Microsoft Office, particularly Microsoft Excel and Word
- Excellent written and verbal communication skills
- Ability to manage confidential information with discretion
- Strong attention to detail and ability to prioritize tasks
Preferred Experience
- Previous experience in an administrative or executive support role
- Experience managing office records, databases, or spreadsheets
